Background
The Civil Service Commission is established to oversee the proper functioning of the Civil Service of the Jubaland State and to ensure that the Civil Service is efficient and effective in serving the community, affordable within state budget resources, and based on merit and equality of opportunity.
The Civil Service Commission is currently recruiting to fill two (2) vacant positions of Receptionist. These are great opportunities for the right persons to progress their career with the Civil Service and provide clerical services to the Ministries.
- Purpose of the Position
Serves visitors by greeting, welcoming, and directing them appropriately; notifies Ministry personnel of visitor arrival and receives correspondence.The Receptionist is responsible for providing secretarial, clerical and administrative support in order to ensure that Ministry services are provided in an effective and efficient manner.
- Dutiesand Responsibilities
- Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
- Directs visitors and inform the employee and department about the visitors.
- Maintains orders by following procedures, monitoring logbook and issuing visitor badges.
- Receives correspondencefrom within and outside of the institution,
- Maintains safe and clean reception area by complying with procedures, rules, and regulations.
- Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Contributes to team effort by accomplishing related results as needed.
- Carry out any other duties assigned by management.
- Qualifications and experience
- Secondary school certificate-essential
- 1 year experience with the similar work
- Telephone Skills, Verbal Communication, Microsoft Office Skills, Listening, Professionalism, Customer Focus, Organization, Informing Others, Handles Pressure, Phone Skills, Human Management
- Office administration an understanding of relevant legislation, policies and procedures.
